Terms & Conditions for Caru Coed event attendees

Welcome to Caru Coed Woodland Adventures! By booking and
participating in our sessions, you agree to the following Terms &
Conditions. Please read carefully before confirming your registration.
1. General Agreement
By booking a session with Caru Coed, you confirm that:
∙You have read and understood these Terms & Conditions.
∙You (or your child, if applicable) are physically and mentally able
to participate.
∙You accept the inherent risks of outdoor activities and agree to
follow all safety instructions.
2. Payment & Booking
∙Full payment is required at the time of booking unless otherwise
agreed.
∙A deposit of 30% of the total session fee is required at booking to
secure your place. The remaining balance is due 7 days prior to
the session.
∙Please note that the deposit is non-refundable, except as
specified in the Cancellation & Refund Policy.
3. Cancellation & Refund Policy
Participant Cancellations:
∙ More than 7 days before the session:
You will receive a refund of your booking fee, subject to
the deduction of a non-refundable administrative fee of
£25 (or 10% of the total session fee, whichever is higher).
∙ Between 48 hours and 7 days before the session:
You will receive a 50% refund, with the administrative fee
deducted from the amount refunded.
∙ Less than 48 hours before the session:
another participant; any refund granted will have the
administrative fee deducted.
∙ No-shows:
No refund will be provided.
∙ Unsafe or Inappropriate Behaviour:
If a participant is removed due to unsafe or inappropriate
behaviour, no refund will be issued.
Cooling-Off Period (Right to Cancel):
– Bookings for scheduled sessions are exempt from the statutory
14-day cooling-off period, as they fall under leisure activity
exemptions.
– Our standard cancellation and refund policy applies to all
bookings.
4. Participant Responsibilities
All participants (or their guardians) must complete and submit a
registration form before attending.
∙ Participants must follow all safety instructions given by Caru
Coed staff.
∙ Respect for nature, staff, and other participants is expected at all
times.
∙ Suitable outdoor clothing and footwear must be worn.
∙ Mobile phone use is discouraged during sessions to allow full
engagement.
5. Drugs & Alcohol
∙The use or possession of illegal drugs is strictly prohibited at all
Caru Coed sessions. Anyone found under the influence will be
asked to leave immediately without a refund.
Alcohol & Substance Use:
– General Sessions: Alcohol consumption is strictly
prohibited during Forest School, Wellbeing, and Bush-craft
and Survival sessions.
–Private Events/Team Building Sessions: Alcohol may be
permitted only with prior written agreement and only
within designated areas that allow for safe and controlled
consumption.
-Behavioural Expectations: Any participant found to be
under the influence of alcohol or other substances in a way
that compromises safety or disrupts the session will be
subject to immediate action, which may include being
asked to leave without a refund. Arrangements will be
made for safe transportation if necessary.
–Liability: Caru Coed accepts no liability for incidents or
injuries arising from alcohol consumption. Participants
consume alcohol at their own risk.
6. Health & Safety
∙It is your responsibility to inform us of any medical conditions,
allergies, or additional needs before the session.
∙Caru Coed staff are first-aid trained, but we are not medical
professionals. In an emergency, appropriate medical assistance
will be sought.
∙A dynamic risk assessment is carried out for each session, and
safety measures are in place.
∙Fire safety rules must be strictly followed. Fires are only
permitted in designated areas and under staff supervision.
∙Knives & Tools: Personal knives or tools may be brought for
show-and-tell or practical use but must be declared to the
session leader before use. All knives and tools must be stored
securely when not in use and must not be used after designated
activity hours (e.g. in the evening). Participants use knives and
tools at their own risk, and Caru Coed accepts no liability for any
incidents arising from their use.
7. Liability Waiver
∙While we take every precaution to ensure safety, outdoor
activities involve inherent risks (e.g. uneven terrain, fire use, tool
handling).
∙By participating, you accept these risks and agree that Caru Coed
is not liable for injuries, accidents, or property damage unless
due to negligence.
8. Photography & Media Consent
∙We may take photos/videos during sessions for promotional use.
∙You can opt out by indicating your preference on the registration
form.
9. Data Protection (GDPR Compliance)
∙We only collect personal data necessary for registration and
safety purposes.
∙Your information is stored securely and is never shared without
consent, except where legally required.
10. Dispute Resolution
∙If you have any concerns or complaints, please contact us first to
resolve the issue.
∙If necessary, disputes will be handled through mediation before
legal action.
By booking a session with Caru Coed, you confirm that you have read,
understood, and agree to these Terms & Conditions.
